Analysis: After analyzing the business processes and interviewing staff we came up with the below objectives.
They needed an Intranet and Internet facing portal.
Workflow on document management.
Personal sites and team collaboration sites.
Replacement of file servers.
Full versioning of documents due to legislation.
Attach custom metadata to documents when uploaded into the system.
Configure the enterprise search facility so all documents could be search on using the custom metadata.
Design: The infrastructure was quite complicated due to the amount of SharPoint features in use. For the internet facing site we decided to host this site at a data center, Internet users had anonymous access while intranet users were authenticated and could modify the web site. The intranet would replace both file servers and home drives and therefore needed to be robust enough to handle a high load of traffic. The intranet farm consisted of 4 front end web servers, 2 application server and two SQL back end servers with the databases residing on a SAN. My sites would replace the home drive and document libraries would replace the network drives. Versioning would be turned on to keep records of all document changes.
Deployment: The installation and configuration was first done in a testing environment to test the migration and for later development purposes. We believe that all companies should have two copies of their SharePoint site, one for production and another for testing and development purposes.
Training: During all stages of implementation, the existing IT staff were trained on both the technologies used in SharePoint and the installation, configuration and administration. All processes and installation steps are documented.
Support and Development: We provide 24/7 ongoing support and development. Our developers created custom content types so that a document is uploaded it would include their custom meta data. Then the enterprise search was configured so they could search on that custom data.
